Tournament Guide for Managers
Complete guide to creating, managing, and running successful tournaments on NextOnCourt.
Quick Tips for Success
Set Clear Expectations
Include detailed rules, format information, and policies in your tournament description. Players appreciate knowing exactly what to expect.
Communicate Proactively
Send reminder emails before the tournament. Notify players immediately of any changes. Over-communication is better than leaving players confused.
Build Buffer Time
Schedule 15-30 minutes between rounds for delays. Matches often run longer than expected. It's easier to have time to spare than to rush players.
Have a Backup Plan
Know your contingencies for weather, no-shows, and technical issues. Being prepared prevents panic and keeps the event running smoothly.

Troubleshooting Common Issues
Solutions to challenges tournament directors frequently encounter.
A player needs to withdraw after the draw is made
Go to the bracket, find the player, and click 'Mark as Withdrawn'. Their opponent will receive an automatic walkover. You can optionally add a late registrant to fill the spot.
Two players have a scheduling conflict
Try to reschedule their match to a time that works for both. If impossible, prioritize based on who registered first or your tournament rules. Document the decision.
Payment was received but registration shows incomplete
Check your payment processor dashboard to verify payment. If payment is confirmed, manually approve the registration. If payment failed, ask player to re-register. Contact [email protected] if records don't match.
The auto-schedule doesn't work for my courts
Check that court availability is set correctly. Use manual scheduling for complex situations. Ensure all divisions have draw sizes compatible with time available.
Bracket is displaying incorrectly to players
Refresh the tournament page. If issue persists, check that all scores are entered correctly. Clear browser cache. For persistent display issues, contact [email protected].
Player claims they paid but I see no registration
Ask player for payment confirmation (receipt, bank statement). Check payment processor for transaction. If payment exists but registration doesn't, manually add the registration and contact [email protected] to investigate.
UTR/DUPR ratings aren't showing for players
Players must connect their rating accounts in their profile. Prompt unconnected players to link their accounts. Manual verification may be needed for unconnected players.
I need to change tournament settings after registration opened
Most settings can still be changed. Notify registered players of any significant changes via announcement. Date/venue changes may require re-confirmation from players.
Manager FAQs
How do I handle a disputed line call during a match?
If you're present, make a ruling based on what you observed. If neither party saw clearly, replay the point. Document any incidents and be consistent in applying rules. For serious disputes, you may need to consult official rules or assign a line judge.
Can I run multiple divisions simultaneously?
Yes, the scheduling system supports multiple divisions. Ensure you have enough courts and set appropriate start times. The system will prevent players from being double-booked if registered in multiple divisions.
What if it rains and we can't finish?
Options include: resume play on a make-up date, move to indoor courts if available, modify format to complete faster, or issue partial refunds and declare results based on progress. Communicate the plan clearly to all players.
How do I get my tournament sanctioned for UTR/DUPR?
You must apply through the rating organization directly. Once approved, connect your tournament in settings. Results will then be reported automatically. Requirements vary by organization.
What's the best way to handle player no-shows?
Wait the default time (typically 15 minutes) before declaring a walkover. Try to contact the player. Document the no-show. Award the match to the opponent present. Consider your refund/penalty policies for future prevention.
How do I clone a tournament for a recurring event?
Go to your completed tournament, click 'Duplicate Event', and update the dates. All settings, divisions, and configurations will be copied. You can then modify as needed for the new event.
